Summary

Ollie charges routed through Spreedly carry connect_agent: "Spreedly" and order_id: "<invoiceDocNumber>-<PaymentRefNum>" metadata (e.g. 00326-1623638, 00327-1626166) that the matcher previously discarded — the composite order_id failed orderid namespace normalization, producing no identity refs at all. Result: legitimate Ollie payments classified suggested/ambiguous despite Stripe and QBO holding corroborating identifiers. Stripe charge metadata already flows through fetchStripeChargeFacts, so no additional Stripe API calls are needed.

The composite is parsed strictly (both legs, leading zeros preserved), then independently corroborated against QBO: invoice DocNumber, payment-to-invoice linkage (linkedTxnIds), PaymentRefNum, gross amount, currency, and the existing date window — all required before a verified match. Claimed references also drive a bounded PaymentRefNum lookup (SPREEDLY_LOOKUP_MAX) so payments outside the dated candidate scan can be resolved. UF-only claim rules still govern fresh proposals; durable applied evidence (#236) wins over fresh metadata; malformed or single-leg matches fall back to suggested/ambiguous.

For the October 7 payout (po_1UNivbC2zsUcVaNLp8xawP3R), four amount/date candidates now resolve to the unique verified Payment 1786, yielding the correct $230.00 historical manual-only move proposal.

Changes

  • lib/stripe-payouts-common.ts — strict parseSpreedlyOrderId (\d+-\d+, leading zeros preserved); ollieIdentity on charge facts; two-leg QBO corroboration inside matchOlliePayment's verified branch.
  • lib/stripe-payouts.ts — fetchOllieLeg accepts claimed identity refs and performs the bounded PaymentRefNum lookup, merging results into candidates without weakening claim rules or emitting UF assumptions.
  • lib/qbo-api.ts / lib/qbo-protocol.ts — queryQboPaymentsByRefNum + qboPaymentsByRefNumQuery targeted payment-reference lookup.
  • docs/operations/quickbooks.md — Spreedly identity format, verification requirements, and fallback behavior.
  • Tests — parser edge cases, identity extraction, matcher scenarios, and the Oct-7 production fixture.

Verification

  • npx tsc --noEmit
  • npm run lint
  • npm test — 1239 pass (+24 new: 00326-1623638 → Payment 1786 out of four candidates; leading zeros; gross-vs-net; wrong invoice linkage; wrong ref; duplicate refs; malformed/missing metadata; wrong connect_agent; amount/currency/date mismatches; missing linkage; charge-facts API failure → unverified; legacy Ollie Order # fallback; DDB charges unaffected; durable-applied beats fresh Spreedly)
  • npm run test:rules — 49 pass
  • npm run build
  • npm run check:md-links
  • npm run check:react-versions
  • npx playwright test smoke-tests/admin-quickbooks.spec.ts — 17 pass

Risk / deployment notes

  • No secrets, credentials, or private data were committed.
  • Observe-only change — no QBO writes, no proposal status rewrites, no env changes, no automatic-eligibility changes. Verified Spreedly identity does not weaken fingerprint binding, identity confirmation, apply-time revalidation, cutover, or auto-mode rules.
  • Extra live QBO reads per payout build: at most SPREEDLY_LOOKUP_MAX (5) targeted PaymentRefNum queries.

Summary by Sourcery

Verify Spreedly-routed Ollie payments against linked QuickBooks invoices and payment references while preserving conservative review and reconciliation safeguards.

New Features:

  • Verify Ollie payments using Spreedly composite order and payment-reference metadata corroborated against QuickBooks records.
  • Resolve claimed payments outside the normal date window through bounded PaymentRefNum lookups.

Bug Fixes:

  • Correctly identify legitimate Spreedly-routed Ollie payments that previously remained suggested or ambiguous.
  • Preserve durable reconciliation evidence and safely fall back when metadata is malformed, incomplete, contradictory, or unavailable.

Enhancements:

  • Require linked invoice, payment reference, amount, currency, and date agreement before granting verified confidence to Spreedly matches.

Documentation:

  • Document Spreedly identity parsing, verification requirements, and fallback behavior for QuickBooks operations.

Tests:

  • Add coverage for Spreedly parsing, corroboration, fallback scenarios, targeted lookups, production payout matching, and durable reconciliation precedence.

Summary by CodeRabbit

  • New Features
    • Spreedly-routed Ollie charges can now be matched using both their payment reference and the order number on a linked invoice. A match is verified only when both details agree; partial or conflicting matches remain suggested or ambiguous for review.
    • Payment-reference lookups can find eligible payments beyond the initial date-window search, while excluding payments outside Undeposited Funds.
  • Documentation
    • Added guidance on how these matches are evaluated and when charges require review.

Ollie charges routed through Spreedly carry connect_agent=Spreedly and
order_id=<invoiceDocNumber>-<PaymentRefNum> metadata that the matcher
previously discarded (composite order_id failed orderid normalization).
Parse the composite strictly, then corroborate both legs against QBO:
invoice DocNumber + payment-to-invoice linkage + PaymentRefNum + amount
+ currency + date window, all required before a verified match.

Claimed references from Stripe metadata also drive a bounded PaymentRefNum
lookup (SPREEDLY_LOOKUP_MAX) so payments outside the dated candidate scan
can be resolved, while UF-only claim rules still govern fresh proposals.
Applied reconciliation evidence wins over fresh metadata, and malformed
or single-leg matches fall back to the existing suggested/ambiguous path.

Reviewer's Guide

The PR enables Ollie payments routed through Spreedly to be verified from composite Stripe metadata by strictly parsing both identifiers, independently corroborating them against an eligible linked QBO payment, and using bounded PaymentRefNum lookups when date-windowed scans miss the claimed payment, while retaining conservative fallback and reconciliation rules.

📝 Walkthrough

The change adds Spreedly composite identity parsing and matching for Stripe charges. It also adds a bounded QBO payment-reference lookup and documents the matching and review outcomes.

Changes: Spreedly payment identity matching

Layer / File(s) Summary
Parse Spreedly identity
lib/stripe-payouts-common.ts, tests/lib/stripe-payouts-common.test.ts
The parser accepts two digit runs separated by one dash and normalizes leading zeros. Charge identity extraction uses the composite claim only when connect_agent identifies Spreedly.
Retrieve QBO payments by reference
lib/qbo-protocol.ts, lib/qbo-api.ts, lib/stripe-payouts.ts
A Payment query filters by PaymentRefNum. The payout ledger checks up to five distinct claimed references that are missing from date-window candidates, and accepts only non-duplicate payments with an eligible deposit target.
Verify composite identity and outcomes
lib/stripe-payouts-common.ts, tests/lib/stripe-payouts-common.test.ts, tests/lib/stripe-payouts.test.ts, docs/operations/quickbooks.md
A candidate is verified when its payment reference and linked-invoice order match the claim. Tests cover suggested and ambiguous results, lookup behavior, and existing reconciliations. The operations guide documents these rules.

…der leg

A payment whose own memo/refNumber mentions "Order #N" satisfied the
Spreedly order leg without any linked invoice carrying DocNumber N —
self-reported text is not payment-to-invoice linkage. Verified Spreedly
matches now require the order-invoice leg specifically; memo-only order
hits fall back to suggested + spreedly_linkage_unverified (CodeRabbit).
